What is your Secure Mail Signature? When composing a Secure Mail message the system will automatically append a signature block to the end of the email notification component (the first portion of the Secure Mail message). The purpose of this signature block is to: · Notify the recipient that you have sent them a Secure Mail message which contains patient health information and what Secure Mail is. a. As such the default signature block message is “I am sending you a Secure Mail™ message containing Protected Health Information. Secure Mail™ is a communication platform designed to protect professionals and their patients. Secure Mail™ is compliant with HIPAA, PIPEDA and other global privacy laws.” b. This default message can be personalized by following the steps outlined below. · You can also add personalized information about yourself and/or your office. That way the recipient knows precisely who is sending them the Secure Mail message and contact information for your office if they have any questions. a. For example: “Thank you for helping ABC Dental Associates to protect our patient’s privacy. 123 Dental Ave, Dentalcity, MN. 987-654-3210. abc@dental.com
NOTE: Since the signature block is delivered to the recipient’s regular email it must not contain any patient health information.
You may customize this signature file in your profile screen. Step 1: There are two ways to navigate to the signature management screen. Option 1 When composing a Secure Mail message click on the Manage My Signature button on the right side of the screen. NOTE: If you navigate to My Profile while drafting a Secure Mail message, the message will not be saved.
Option 2 Navigate to your profile screen at any time by selecting the My Profile button in the upper left corner of your screen. This will open your profile. Click on Edit Profile to make begin to make changes.
Step 2: Edit the Signature Block. Notice the My Secure Mail Preferences section on the right side of your profile screen.
Click within this area to edit or add to the default signature OR replace it entirely with your own. NOTE: This is a text-rich field so you can use any of the standard formatting features offered. Also keep in mind that your preferred signature block will be appended to all your outgoing Secure Mail messages automatically.
Step 3: When done editing click Save Changes (located at the very bottom of the page).
Support Tips: You can use the toolbar at the top of the signature editing window to customize the look or your signature (italics, bold etc...). The signature file will be added to the Email Message section of every message – so you can edit it before you send the message. We suggest you enter a blank line or two at the top of your signature block to allow room for you to type in a specific message for each email and to separate the signature block text from your message.
